Call recording

The live line on this site

  • Calls are recorded. The receptionist says so at the start of the call, and says it is an AI assistant.
  • Why. So we can check the receptionist handled the call properly and fix what it got wrong. Recordings are not used for anything else.
  • How long. Recordings and transcripts are deleted after 7 days.
  • Who processes them. Twilio (the phone line and the recording) and xAI (the voice AI and the transcript), on our instructions. The controller is Always Building Limited, trading as Always Building.
  • Your rights. Ask for a copy or ask us to delete it: hello@alwaysbuilding.co.uk.

For your own website: a notice you can copy

When your receptionist goes live, put this on your privacy page and keep the recording announcement in the greeting. Replace the parts in square brackets.

Calls to [YOUR BUSINESS] are answered by an AI assistant and are recorded. The assistant tells you this at the start of the call. We record calls so that we can check messages were taken correctly and improve the service. Recordings are kept for [90 days] and transcripts for [12 months], then deleted automatically. The call is handled by Twilio (phone line and recording) and xAI (voice assistant and transcript) on our behalf. You can ask for a copy or for deletion by emailing [YOUR EMAIL]. The controller is [YOUR BUSINESS NAME AND ADDRESS].

UK rules in brief: businesses may record calls for their own purposes if callers are told. The AI notice is there so nobody thinks they are talking to a person. Your solicitor should confirm the wording for your business.
